Roles & Responsibilities

HR & Admin Assistant will be responsible for managing Employee Full Life Cycle, he/she will also assist in payroll management and other HR/Admin related duties.

Job Duties

Office Administration

  • Handle incoming calls and attend to visitors
  • Maintain up-to-date employee contacts and records
  • Make travel arrangements including insurance and visas application
  • Provide office administrative support to ensure smooth running of the Representative Office including managing office supplies, stationeries, incoming mails and vehicle administration.
  • In charge of office facilities including renewal of office space, maintenance of office, and utilities like power and water supply, etc
  • Assist in the application of all required licenses for business operations in Thailand
  • Assist the sales team to apply export permit for suppliers
  • Review and update forms, letters and administration templates when required.
  • Prepare and issue HR-related letters to staff
  • Act as a bridge between the office and external stakeholders such as auditors, custom brokers, government departments for work like work permit application etc. and assist with the filing of claims
  • Any other ad hoc administrative duties as assigned by the supervisor
 

Human Resources

Recruitment
  • Support recruitment by posting vacancies on various recruitment platforms and managing responses to candidates
  • Schedule and conduct initial screening interviews for shortlisted candidates
  • Extend job offer to candidates
  • Update employee job descriptions as and when needed

Onboarding/ Offboarding

  • Conduct new employee onboarding and offboarding.
Performance Management
  • Assist HR Manager to follow-up on KPI settings for Management’s confirmation and yearly appraisal
Training
  • Monitor training budget and maintain training calendar
  • Conduct training analysis surveys to find out about employees’ training progress to increase productivity
  • Be involved in training administration including course registration, training grant, updating of training records, and training feedback, etc
Compensation & Monthly Payroll Processing
  • Prepare new employee’s salary proposal for approval
  • Conduct yearly salary benchmarking
  • Support in annual salary review exercise
  • Stay abreast of local employment regulations and adjust employee benefits when necessary
  • Yearly review and renewal of employee related insurances
  • Drive employee engagement programmes
Any other ad hoc human resources duties as assign by the supervisor

Job Prerequisites

  • Diploma in Business Administration
  • At least 2 years of relevant working experience in administrative support
  • Self-starter with initiative to get the job done
  • Possess good interpersonal and communication skills
  • Meticulous with an eye for detail
  • A team player who is able to work independently
  • Able to work under pressure in a fast-paced environment
